Cancellation Policy

Welcome to Italy Beer Tours (hereafter referred to as IBT). We can’t wait to show you the Italy you didn’t know existed! Our tours are designed to explore a new culinary revolution of craft beer along with Italy’s traditional, artisanal cuisine. Above all, our tours are about having fun and enjoying Italy’s la dolce vita! But to do so, please read carefully the Terms and Conditions before signing up for a tour. They limit IBT’s liability as the operator of this tour and that of our agents, carriers and suppliers, who are providing your tour arrangements. Furthermore, they outline the conditions under which your tour will operate. TOUR CONFIRMATION: Tours require a minimum of 6 guests and no more than 12. If the tour does not reach the minimum number of travelers, we can move you to another tour or there is an option to pay an upcharge to allow your tour to go. Please confirm the operation of the tour prior to buying plane tickets. NOTE: Tour prices based on double room occupancy, per person, U.S. dollars, land only. If you are a solo traveler and would like to have a private room all to yourself there is a single supplement fee of $975 in addition to the base price of $4295 per person. We can also work with you to try and pair you with other single travelers of the same gender to avoid the single supplement. Included in the Tour Price: Accommodations (double occupancy unless otherwise noted), as specified in the tour itinerary. Meals as specified in the tour itinerary. Cost of brewery tours. Not Included in the Tour Price: Airfare or other transportation to the tour starting point, and from the tour ending point (see itinerary). Meals not specified in the itinerary. Drinks beyond the two included with meals and on tours. Though most meals include drinks, pairings or cocktails—this will be noted in the detailed itinerary for the tour. Takeaway beers or merchandise from personal brewery purchases. Personal expenses such as laundry or telephone calls. Expenses for any activities not included on the itinerary. Passport or visa fees. Tips for guides, drivers and tour leaders, pub visits. Tour insurance to cover tour cancellation or interruptions, lost luggage, accidental death, medical expenses, emergency medical evacuation, or unavoidable flight delays. Please note: many personal health insurance plans don’t cover their participants while they are traveling out of the country. Check with your provider. DEPOSIT: A deposit of 50% of full cost of tour is due at time of registration. Deposit to reserve a seat on a tour is currently $2,147.50 USD per person. You may pay for the entire tour at the time of registration, or pay only the $2,147.50 deposit, then be invoiced by email for the remainder with payment due no less than 120 days before the start of your tour. At IBT we understand life happens and postponements or cancelations occur. We want you to feel secure in knowing that if you have to cancel, you won’t lose all your money. We’d much rather have you postpone and join us when you can on a future tour. We understand things happen and we will do what we can to help you, but we are also obliged to the policies of our venders, some of whom do not supply refunds. That said, we’ll assess your cancellation fees depending on how far in advance we receive this notification. ROME WALKING TOUR CANCELLATIONS: If you must cancel your reservation, notify us in writing as soon as possible. If we can reschedule your tour, we will, depending upon availability. We charge a $15 cancellation fee per person for our Rome Walking Tour. REFUNDS: A refund does not include exchange rates, exchange fees and other administration fees that are no longer available for us to return to you. Cancellation fees will include a non-refundable processing fee of $350 per person for each reservation you cancel. Your experience with Italy Beer Tours, and our investment into your tour, begins long before your tour departs. As part of your tour package, we secure suppliers for accommodations, transportation, entrances, local guides, meals and more, months in advance. Our cancellation policies and non-refundable processing fees exist to cover the non-refundable costs that we pay in advance on behalf of our clients and to take into consideration the advance time and professional services rendered in planning these tours as well as the time and effort involved in re-selling any booking that has been cancelled. You will receive a refund of all payments made to date, minus the applicable cancellation fees. There are no exceptions to this policy, including, but not limited to weather, sickness, terrorism, civil unrest, epidemics or the threat thereof, personal, family or medical emergencies or force majeure. Once a tour begins, no refund is provided should you arrive late, withdraw from a tour prior to its ending, get removed from a tour, or if you skip or miss any group meals or events as stated on the itinerary or tour description. IBT reserves the right to suspend trips in cases of force majeure or the failure of third parties—such as hotels or ships—to honor their reservations, in which case, all payments received to date will be transferred for use on a future trip (must be used within 24 months). IBT is not responsible for expenses that are incurred in preparation for any suspended trips, such as airline tickets, or for costs that are incurred due to travel delays, flight cancellations or illness. All policies subject to change. Refunds will be processed 30 days after our receipt of your written cancellation. We highly recommend travel insurance. POSTPONEMENT: Should you need to postpone your tour, it is up to the discretion of IBT as to whether we can accommodate your new dates, due to brewery schedules, hotel availability, transportation, local festivals, etc. CANCELLATION BY IBT: We do our best to avoid cancellations, but occasionally emergencies happen, and it becomes necessary for IBT to cancel a tour. Ideally, IBT would like to reschedule your cancelled tour with full credit for payments made to date. Any refund of payments made constitutes full settlement, and releases IBT from any further liability. IBT is not responsible for any additional expenses incurred by tour participants when a tour is cancelled by IBY, including but not limited too non-refundable airline tickets, passport fees, or other costs not included in the tour price as outlined above. ROME WALKING BEER TOURS: These 3-hour walking tours need to be booked at least 24 hours in advance. All walking tours in Rome will take place regardless of the weather. There is no minimum number of guests for these tours. We will be walking from place to place, so please be prepared with proper footwear and clothing for potentially changing weather. If you decide to cancel your Rome Walking Beer Tour, there will be a $15 cancellation fee per person. If you are more than half an hour late for your scheduled Rome Walking Beer Tour the tour will be cancelled with no refunds. No refunds will be given for any portion of the Rome Walking Beer Tour you miss. No refunds will be offered if you decide to not participate for any part of the tour. TOUR CHANGES: Tour itineraries are subject to change due to unforeseen circumstances such as inclement weather, transportation problems, or an unexpected business closure. This includes, but is not limited to, the hotels, restaurants, brewery tours and forces out of our control dictate, or to be able to take advantage of last-minute opportunities to enhance the tour experience. You will be notified of any tour changes as soon as is practical. SIZE OF TOURS: We require a minimum of 6 guests to have a tour. Tours are typically between 6 to 12 people with 8 to 10 being the average. This is a comfortable size to gain access to interesting and intimate restaurants, not overwhelm breweries during our visits and to keep the tour reasonably priced. We reserve the right to add guests to any tour. If you have less than 6 people for your tour, we can still make your tour happen, at the discretion of IBT, with an additional supplement of $600.00 per person. HOTELS: Great hotels are a significant part of the tour experience. We aim for boutique and unique hotels with all the Italian charm our venders can muster. Please keep in mind most hotels are small, independent, family-run and some are larger business hotels. Italian hotel rooms can be small with twin beds very close to each other. Some hotels don’t offer double beds, but only twin beds. Remember, we are in a different country with many of the hotels located in centuries-old buildings. Not all hotels have TVs, but we didn’t travel all the way to Italy to watch the news, right? Some hotels don’t have elevators, so plan to walk up steps from time to time. SHARING ROOMS: If you are traveling solo and do not wish to pay the single supplement fee, upon request we can attempt to match you with someone of the same gender in a twin room. This service is not guaranteed. If we cannot match you, you will be subject to the single supplement fee ($975.00) listed on the tour page of the IBT website. You must inform us in advance of any medical condition or personal issues that may negatively impact someone else’s enjoyment of the tour, i.e., snoring. If you don’t inform us, we reserve the right to change your booking to a single room and for you to pay the balance due on both rooms. The best option for sharing a room is to take the tour with someone you know, with whom you can also peacefully share a room. AIR ARRANGEMENTS: IBT does not include or book air travel for its tours. It is your responsibility to get to the starting point of the tour, usually our first hotel. We advise you to arrive in Europe at least two days prior to the tour to adjust to the time zone and allow for travel delays. No refund is given for any part of the tour which is missed or in which you choose not to participate. TOUR DOCUMENTS: About 2 to 3 weeks prior to departure, you will receive a travel information package including your detailed itinerary. PASSPORT AND VISAS: Tour guests are responsible for ensuring that their passport expiration date is within the validity period of the countries they will be traveling to. You may be traveling elsewhere prior to your Italy Beer Tour or perhaps after your tour, so make sure you won’t encounter trouble or delays. Some countries require that your passport be valid at least 6 months beyond the dates of your trip (this applies to Italy and is strongly recommended). We recommend at least six months after the last day of the tour, even though that may be all that is required. It can take three weeks to get a new passport without paying for it to be expedited. Plan ahead. No refunds can be made in case of late arrival of passport. *AGE RESTRICTIONS: Although the legal age to drink in Italy is 18 years old, because we are an American based company, we are not permitted to book anyone under the age of 21 years of age. Proof of age may be requested. MEDICAL AND HEALTH ISSUES: We cannot, unfortunately, accommodate passengers requiring wheelchair assistance as most features of the tour are not wheelchair accessible. We suggest you contact us to discuss your particular needs before booking. Although our tours are not considered physically demanding, we walk on cobblestone streets, through large and small breweries and may walk for extended periods. It is the responsibility of each tour guest to be in adequate health or be personally responsible for alternative taxi costs, etc. IBT reserves the right to decline any tour guest whose condition, in our opinion, may affect the health, safety or enjoyment of other guests. Refunds are not given for health reasons or medical emergencies. Hospital and medical treatments and care during the trip are the complete responsibility of the guest—as is evacuation from the trip location to return to your home country. Italy Beer Tours cannot attend the sick and/or assist with medical situations during the trip. IBT assumes no liability regarding provision of medical care. Refunds cannot be made for portions of a trip issued due to sickness, injury, medical emergencies or any other reason including reaction to food allergies or otherwise. IBT is not responsible for the costs of any medical treatment you may require during the tour. Under no circumstances is IBT responsible for the quality of the medical care, or lack thereof, you may receive while on the tour. It is illegal to smoke indoors in bars, pubs, restaurants and other public spaces in Italy. IBT does not permit smoking in tour vehicles and in lodgings. FITNESS LEVEL: These are active tours. Please disclose any health issues at the time of registration. Travelers must ensure they are medically and physically able to travel and able to keep up with the walking group. All tours require at least a moderate fitness level. It is essential you are mobile and agile enough to climb steps, walk across cobblestones, walk fast enough to keep up with a group. Don’t be that person who whines when you learn we need to walk 30 minutes to get to dinner. You should be able to walk for an hour at a time and be on your feet for two hours at a time. You should be able to carry/roll your own luggage, sometimes up hills to a hotel, up flights of stairs and to be able to lift it over your head and into a luggage bin. We keep a relaxed, comfortable schedule, but we do keep a schedule. If you are unable to keep up and continually place the tour in jeopardy of being late, then we may be forced to remove you from the tour. FOOD ALLERGIES: We will be eating many varieties of foods, many local and seasonal. If you have any allergies to food of any kind, please inform us when you book. We are often able to accommodate you and will do our best to work around your allergies. In most cases our vendors will accommodate you, but if our vendors cannot accommodate you, IBT will not be held responsible. Many of the beers are brewed with various ingredients, some of which may contain allergens. Please be responsible, alert and aware and be advised of any ingredients that might cause you harm. We will do our best to make sure you are safe, but it is your responsibility to be aware of your allergies. If you should have an unfortunate reaction to any food, IBT assumes no liability, including, but not limited to provision of medical care or in any way. IBT does not prepare the food, but we will alert all our venders of your allergies. LUGGAGE: You are allowed one medium sized bag (roughly 20” x 28” x 10”) and one small carry on. Our vehicles have a limited amount of luggage space, please be respectful of other guests. Plus, you’ll want to save room for all of that beer you’ll be buying to bring home. PARTICIPATION: IBT reserves the unilateral right to accept or reject any person as a tour participant at any time. A tour guest may be restrained from further participation if, in IBT’s sole judgment, the individual’s actions impede the operation of the tour, pose a threat to the welfare or enjoyment of any group participant, or are unsuitable for group travel. Guests agree to follow all rules of safety and conduct presented by IBT. IBT runs a number of tours based on the enjoyment of Beer, however, guests are expected to act responsibly where alcohol is involved. Italians frown on public drunkenness and drunken behavior is culturally unacceptable. DON’T BE THAT GUY OR GAL! In the event that a guest is removed from a tour, IBT will not refund any monies, transportation costs to return home, airline penalties, and any other expenses incurred will be the responsibility of the guest. In the event that a guest voluntarily chooses to leave a tour, IBT will require a written, signed statement of the guest’s intent to depart from the tour. In the event that a guest voluntarily departs from a tour, IBT will not refund any monies. Transportation costs to return home, airline penalties, and any other expenses will be the responsibility of the guest. Only registered IBT guests will be allowed to join us while we are on tour including, brewery visits; guided walking tours; guided trolley or tram tours; motor coach transfers; on-board boats; group meals and/or any other group event on the itinerary. PUNCTUALITY: We have schedules to keep. Our tours have relaxed, comfortable schedules, but we do have schedules. It’s your responsibility to keep to our schedules. Should you be tardy, we will be forced to leave without you. If you consistently delay our departure, we may ask you to leave the tour. Vehicle departures and tours cannot wait for tardy participants, and each member of the tour is expected to be on-time, based on schedules that will be provided. IBT will not refund any monies for portions of the tour a participant misses due to their tardiness. IBT will not be responsible for any expenses whatsoever incurred by the tardy guest to rejoin the tour, return home or travel elsewhere. CONDUCT: These beer trips are for beer education and enjoyment, not overindulgence and questionable behavior. Guests are expected to conduct themselves in a responsible, respectful manner that insures everyone’s enjoyment. As we mentioned, Italians frown on drunkenness. We have spent years cultivating relationships with our venders and under no circumstance will we tolerate any drunken, disrespectful behavior. Aggressive, abusive or undermining behavior will not be tolerated. You accept the responsibility for proper conduct. We reserve the right to terminate the tour for problem individuals. No refunds will be given if the decision is made to exclude the traveler from the remainder of the tour or portions of the tour. IBT has no obligation to pay compensation, costs or expenses travelers may incur as a result of the travel arrangements being terminated in these rare instances. DON’T BE THAT GUY OR GAL! RESPONSIBILITY: The responsibility for IBT its employees, affiliates, officers, directors, successors, agents and assigns (collectively IBT) is strictly limited. As a tour operator, IBT organizes, promotes and sells tours consisting of certain travel services, including land and water transportation, sightseeing, excursions, restaurants and cruise/barge/hotel accommodations that IBT purchases or reserves from various suppliers (collectively, “Suppliers”). IBT acts only in the capacity of curator for hotels, restaurants, transportation companies, equipment suppliers, breweries and other suppliers of services. Meaning that IBT has selected Suppliers to be part of the tour but IBT does not own or operate any of these Suppliers. The Suppliers providing travel services for IBT tours are independent contractors and are not agents or employees of IBT. As a result, IBT is not liable for any negligent or willful act or failure to act of any such person, or of any other third party. Some tours may include visits to shops or merchants. IBT is not responsible for any purchases you make during your tour, whether that merchant is part of the scheduled itinerary or not. By utilizing the travel services of the Suppliers, you agree that you will look to such Suppliers for any accident, injury, property damage, or personal loss to you or to those traveling with you, and that neither IBT nor any representative of IBT shall be liable. Without limitation, IBT is not responsible for any injury, loss or damage to person or property, death, delay, or inconvenience in connection with the provision of, or failure to provide, any goods or services occasioned by or resulting from, but not limited to, acts of God or forces of nature, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal or terrorist activities of any kind, government restrictions or regulations, overbooking or downgrading of accommodations, mechanical or other failure of airplanes or other means of transportation or for the failure of any transportation mechanism to arrive or depart on time, sanitation problems, lack of medical care, sickness or quarantine, epidemic or pandemic, exposure to any communicable illness or infectious disease, over-consumption of alcohol beverages, risks associated with impure food or impure water dangers associated with animals or recreational activities, breakdown of equipment, high altitude, limited access to medical attention, and stolen, lost or misplaced luggage or property, or for any other cause beyond the direct control of IBT. IBT is only responsible as an informational tour guide and organizer for these beer trips. We do not move luggage, perform special duties, or assist in personal or medical problems or situations. Each participant on these trips is totally responsible for his/her own property, well-being and resolution of any special problems or situations. You therefore, for yourself, or respective heirs, successors and assigns, hereby knowingly and intentionally WAIVE AND RELEASE, AND AGREE TO INDEMNIFY, HOLD HARMLESS, AND DEFEND ITALY BEER TOURS their respective owners, partners, agents and employees from and against any and all liability, claims, actions, causes of action, suits, expenses (including reasonable attorney's fees) and including NEGLIGENCE by ITALY BEER TOURS their respective owners, partners, agents and employees of any kind or nature, whether foreseeable or not, arising directly or indirectly out of any portion of the tour for any and all damage, injury, paralysis, or death resulting from your participation in the tour, any activity associated with the tour or in any way related to the tour, or any transportation provided on the tour. ASSUMED RISK: Travel has its own inherent risks, and the participant acknowledges such risks exist, up to and including death. IBT will take all reasonable precautions to insure the health and safety of the participant. The participant agrees to hold IBT, its employees and agents harmless should illness, accident or death occur. IBT is not responsible for the actions, express or harm incurred by participants who disregard the instructions of the IBT representative(s), participants who depart from the planned activities of the tour, or participants who don’t follow the instructions of the non-IBT representative(s). Walking through breweries, near active bottling lines, near hot boiling brew kettles, climbing steps, ladders, stepping over hoses, walking on wet floors are just some of the potential hazards of touring a craft brewing facility. By signing up for the tour you agree to hold harmless IBT for any ill fate that may fall upon you or your wardrobe. You fully and clearly understand that you will be consuming alcohol during the tour and accept full responsibility for your behavior and health during the tour—which may involve a variety of activities locations and types of travel—including, but not limited to: walking on dark and/or busy foreign streets, rail travel, bus transportation, train platforms and stations, steep hotel stairways, cobblestone streets, taxis, tours, restaurants, pubs, breweries, and public museums. You also realize that brewery tours may involve beer tasting and walking though unfamiliar, narrow and/or steep corridors, stairways and slippery terrain. You also realize that breweries may be operational during visits and that this presents additional hazards including heat and steam, reduced visibility, slick floors, hot surfaces and boiling kettles. You knowingly and willfully accept these risks and accept complete and total responsibility for your behavior and welfare during tours. You agree to hold neither IBT nor the hosting brewery or facility liable in any way, should any type of harm come to you. PHOTOGRAPHS AND VIDEOS FOR PROMOTIONAL MATERIAL: IBT reserves the right to take photographs or make video recordings of any of its tours and to use any such photographs or videos for promotional and/or commercial purposes, as well as for use by third parties with whom IBT may engage in joint marketing, without financial remuneration to guests. Tour guests assign all right title, and interest they may have in any and all media in which their name or likeness might be used including print and online publications to IBT. SUMMARY: I willfully and knowingly accept all the risks associated with this tour and take complete and total responsibility for my behavior (even while consuming alcohol), well-being and health during the tour. I agree to not hold liable IBT, its agents, coach companies, boat companies, hotels, restaurants, other travelers nor breweries in any way should any harm come to me or my family. By signing the release emailed to you, you acknowledge that you’ve read, understand and agree to the terms set forth in these Terms & Conditions. ADDITIONAL TERMS AND CONDITIONS FOR COVID-19 IMPACTED TOURS: Due to the fluid situation with Covid-19, we reserve the right to update these policies at any time and without prior notice. For Tours that have been cancelled by the EU or Italy as a result of COVID-19, guests will have options for rescheduling. Rescheduled trips will be determined per tour and communicated directly with the individual guests of each tour. All cancelled tours may be applied toward a new date on a new booking for a future tour offered by IBT. All bookings are subject to availability at the time of the request. Any booking must be used on or before December 31, 2022, after which the credit will automatically expire and have no value. For refunds, please read our Cancellation policies in our Terms & Conditions above. Your Deposit is FULLY TRANSFERABLE You may transfer to another IBT tour or leave your deposit in place for a future tour which must be completed by December 31, 2022. Your final payment will be due 120 days prior to when your rescheduled tour begins. IBT will do what we can to make any changes easy and comfortable. But please understand, the rules, regulations and health requirements of Italy, the US and other countries is an evolving situation. We will continue to update you should your trip endure unforeseeable changes. Above all, we wish to make this as easy as possible for you. We will work with you to find you another date as a group or individually, as available. IBT holds sole rights to decide availability and number of guests per trip. VACCINATION: We fully expect all travelers entering Italy (and the EU) will be required to be vaccinated to enter, or will be required to quarantine for a period of time before being allowed to move freely. Since nobody who’s traveling wants to do the latter, we very strongly recommend everyone traveling on an IBT tour get vaccinated. Also, do not leave it to the last minute as the vaccine takes a couple of weeks to become effective. Our assumption is Italy (and the EU) will require traveler’s arrival to be at least 2 weeks after the administration of their second vaccine dose. Italy (and the EU) hasn’t implemented any vaccination policies as of yet, but we are predicting that this will become the norm in the near future. We also believe Italy (and the EU) will still require travelers to wear masks. If masks are required, then we all must wear them. All travelers must obey the rules of the countries they are visiting. IBT is not responsible for unvaccinated guests who are unable to travel on their tour. IBT will give no refunds for any traveler who is not allowed to enter Italy or the EU if unvaccinated. IBT has no obligation to pay compensation, costs or expenses travelers may incur as a result of the travel arrangements being terminated.
